Every gym owner knows they should follow up with leads. Most have some version of a process in place. Almost none of those processes are working as well as they think.
Here’s how to know if yours is one of them: when was the last time you personally reviewed what happens to a lead between the moment they submit an inquiry and the moment they either join or go silent?
The most common failure points
Speed. A lead contacted within five minutes of inquiring converts at dramatically higher rates than one contacted an hour later. Most gym follow-up processes have a lag of hours, sometimes days.

If you’re building this from scratch, start with three things: an immediate automated response that goes out within 60 seconds of any inquiry; a 5 to 7 day multi-channel follow-up sequence that runs for every lead who doesn’t respond to the initial outreach; and a clear handoff trigger, the exact condition that stops automation and puts a human in the conversation.
Most gyms that implement just those three elements see meaningful conversion improvement within 30 days. The leads are already there. The process just needs to meet them where they are.
